Terms and Conditions
The following terms and conditions apply to all participants of the workshop. Please read them carefully, as they form the basis of your booking and participation.
Key Policy Summary
- To confirm your participation, a deposit of €1,000 is required.
- The remaining balance must be paid at least 90 days before the start of the workshop.
- Cancellations are handled according to the tiered policy (see below).
- Comprehensive travel insurance is mandatory for all participants.
- We recommend participants have insurance covering cancellations due to personal reasons.

Participants may transfer their booking to another person for a €300 non-refundable administrative fee, subject to organizer approval and at least 30 days prior to the workshop.

Participants may change to another workshop date at the same destination: free if requested more than 90 days in advance; €300 non-refundable fee if within 90 days, subject to availability and organizer approval.
- External costs such as flights, transportation, or photographic equipment are non-refundable.
- European Union Participants: Reservations are handled by our authorized tour operator Beyond BA (License 18215). All payments and refunds for EU participants are processed directly through Beyond BA. For participants outside the EU, bookings are made directly with us.
Deposit and Payment
A deposit of €1,000 is required to secure your reservation.
The remaining balance must be paid no later than 90 days prior to the start of the workshop. Failure to pay the remaining balance on time may result in automatic cancellation of your reservation, without refund of the deposit.
Tiered Cancellation Policy
Cancellation fees are applied on a tiered basis depending on how far in advance the cancellation is made.
- 90 days or more prior to workshop commencement: €500 fee.
- Between 90 and 60 days prior to workshop commencement: €1,000 fee.
- Between 60 and 30 days prior to workshop commencement: 50% of total workshop cost.
- Less than 30 days prior to workshop commencement: 100% of total workshop cost.
Cancellation requests must be submitted in writing. The applicable fee is determined by the date the cancellation is received.

Refunds by Substitution
A refund of the workshop fee (less administrative charges) is only possible if the following two conditions are met:
- The cancellation request is received more than 30 days prior to the workshop commencement; and
- The participant’s spot is successfully taken and fully paid for by a replacement participant approved by the organizer.
In such cases, a non-refundable administrative fee of €500 will be retained to cover processing, administrative overhead, and non-recoverable costs (e.g., permits, accommodation deposits, transportation, etc.).
If the spot is not replaced, or cancellation occurs 30 days or less prior to the workshop, no refund is possible.
Note on Accommodation and Additional Costs
Any costs arising from room changes or adjustments due to cancellation or substitution will be the responsibility of the canceling participant.
Cancellations Due to Personal Circumstances
Cancellations due to illness, injury, family emergencies, or other personal circumstances are subject to the cancellation and refund policy outlined above. Participants are required to have comprehensive travel insurance including trip cancellation coverage.
Refunds and Responsibility
A. Cancellation by the Organization: If the workshop is canceled by the organizer before its commencement due to unexpected circumstances, participants may choose to either postpone their participation to a future workshop or receive a full refund of the workshop fee.
B. Exclusion of External Expenses: The organization is not responsible for any external expenses incurred by the participant (flights, accommodation, visa fees, equipment, etc.) in the event of cancellations, changes, or modifications to the itinerary.
European Union Participants
Reservations are handled by our authorized tour operator Beyond BA (License 18215). All payments and refunds for EU participants are processed directly through Beyond BA. For participants outside the EU, bookings are made directly with us.
Workshop Capacity
The workshop is designed for an optimal group size of 10 participants to ensure a high-quality, personalized experience. In exceptional circumstances (confirming two participants at the same time or accommodating couples), the group may increase up to 11 participants.
Late Arrival and Early Departure
Participants are expected to arrive on time. Late arrivals will be accommodated where possible, but the participant is responsible for all additional costs incurred (transportation, accommodation, guides, etc.). If integration is not possible, the reservation will be canceled without refund.
Early departures: participants are responsible for all costs incurred. No refund is given for missed days.
Health and Fitness
Participants should have sufficient fitness for easy to moderate hikes lasting several hours. If you have questions about your fitness level, please contact us before booking.
Risk Assumption
Participation involves personal risk. Participants are responsible for their own safety and the safety of their photographic equipment. By accepting these terms, you consent to these risks.
Weather
The itinerary may be adapted due to extreme weather conditions to optimize the experience safely.
Visa
It is your responsibility to obtain all required visas and permits. For more information, visit the IATA Travel Centre or the official consulate of your destination.
Travel Insurance (Mandatory)
Comprehensive travel insurance is mandatory and must include at least:
- Emergency medical coverage
- Medical evacuation and repatriation
- Personal liability
- Accidental death and dismemberment (AD&D)
- Trip cancellation or interruption
Coverage for photographic equipment is recommended. The organization cannot provide reimbursement for loss, theft, or damage. Participants are fully responsible for their gear.
Room Sharing
Rooms are double occupancy and shared with another participant. Roommates may be any gender. Requests for same-gender sharing or private rooms must be made in advance. Private rooms are subject to availability and incur an additional charge.
Responsibility for Photographic Equipment
Participants are responsible for the care and safety of their photographic equipment and personal belongings. The organization is not responsible for loss, theft, or damage.
Dietary Needs and Special Requirements
Notify us in advance of any allergies or dietary requirements. We will accommodate where possible, but cannot guarantee all adjustments.
Conduct During the Workshop
Participants are expected to behave respectfully and cooperatively. The organization reserves the right to remove participants whose behavior negatively affects the group, without refund.
Use of Images and Videos
Participants authorize the use of photos and videos taken during the workshop for promotional purposes unless otherwise requested in writing.
Limited Liability
The organization is not responsible for indirect, incidental, special, punitive, or consequential damages resulting from participation, including lost income, lost opportunities, health issues, or expenses not covered by insurance.
Social Media / Public Conduct
Participants are expected to behave respectfully online and in public. Defamatory, harassing, or harmful content towards other participants or the organization may result in legal action.
Modification of Terms
The organization reserves the right to modify these terms before the workshop. Any changes will be communicated in writing. Participants may accept the changes or cancel according to the cancellation policy.
Governing Law and Jurisdiction
These terms are governed by the laws of Spain. The parties agree that any dispute or claim shall be subject to the exclusive jurisdiction of the courts of Barcelona, Spain, to the extent permitted by applicable consumer protection laws.
